Administrative Assistant - Secretariat 19.09.2025

Your job

  • Idependently performing all necessary assistant and secretarial tasks: written and telephone correspondence (in German and English), data and file maintenance, organizing business trips, procurement, invoice processing
  • Handling personal matters
  • Support in organizing events, workshops and research seminars
  • Managment of budget funds and processing of third-party funding matters (SAP; prior knowledge not required)
  • Administrative support in planning and implementing teaching, exam administration in cooperation with the examination office (KLIPS 2.0; prior knowledge not required)
  • Website maintenance (Typo 3; prior knowledge not required)

Your profil

  • Completed apprenticeship in a commercial or adminstrative field or equivalent qualification
  • Careful, reliable and independent working style
  • Strong affinity for structured, rule-based and administrative tasks
  • Organizational skills, ability to work in a team and high service orientation
  • Confident handling of classic office work (e.g., correspondence, data maintenance, appointment organization)
  • Good knowledge of MS Office applications
  • Good written and oral communication skills in German and English
  • Willingness to learn new systems (e.g., SAP, KLIPS 2.0, TYPO3)
  • Interest in the university context and enjoyment of administrative work

Your job

  • Program coordination for the Master´s program in Corporate Development and for the department´s Bachelor´s courses, in particular
    -Course planning and coordination
    -Individual and group counseling for students in all phases of their studies
  • Management of corporate partnerships
  • Management of the secretarial team
  • Independent administration of university and third-party funds in SAP
  • Independent handling of personnel matters
  • Event planning and organization
  • Maintenance of the Corporate Development Department's website, including social media
  • Creation and correction of documents in English, translating documents
  • Support for (international) guests
  • General secretarial and administrative tasks

Your profil

  • Completed university degree (bachelor's or equivalent) or comparable qualification through many years of relevant professional experience
  • Business fluent English skills
  • Proven professional experience in higher education or a comparable position
  • Experience in planning and coordinating degree programs and courses
  • Experience in team leadership
  • Strong organizational, written and verbal communication skills
  • Ability to work idependently and as a part of a team
  • Proven project and office management experience
  • Experience in customer management and event management desirable
  • Comprehensive user knowledge of the MS Office product line, preferably also in SAP and TYPO3
